Description
The Schedule Baseline Template is the approved version of the project schedule that serves as the reference point for measuring and monitoring schedule performance. According to PMBOK 8, the schedule baseline is a component of the project management plan and is maintained throughout the project lifecycle.
What's Included in This Schedule Baseline Template?
This free PMBOK 8 Schedule Baseline Template is a structured Excel spreadsheet with three worksheets:
- Instructions — explains how to set up and maintain the baseline.
- Schedule Baseline — the main table with Activity ID, Activity Name, WBS Code, Milestone flag, Predecessors, Duration, Baseline Start, Baseline Finish, Actual Start, Actual Finish, Float, and Status.
- Param — dropdown reference values for Milestone and Status fields.
Why the Schedule Baseline Matters in PMBOK 8
The schedule baseline enables two critical project management disciplines:
- Schedule Performance Measurement: Compare baseline dates against actuals to calculate Schedule Variance (SV = EV − PV) and Schedule Performance Index (SPI = EV ÷ PV).
- Change Control: Any approved change to the schedule must be reflected in a formal baseline revision. This creates an audit trail of schedule evolution.
In PMBOK 8, the schedule baseline is also linked to the cost baseline through Earned Value Management — together they provide a comprehensive view of project performance.
How to Use the Schedule Baseline Template
- Import your activity list: Enter all project activities from your schedule planning.
- Link to the WBS: Include WBS codes so each activity traces back to a deliverable.
- Identify milestones: Flag key events (project start, phase gates, go-live) using the Milestone dropdown.
- Record predecessors: Note which activities must finish before each one can start (finish-to-start dependencies).
- Set baseline dates: Lock in Baseline Start and Baseline Finish once the schedule is approved.
- Track float: Record total float (slack) — zero float indicates a critical path activity.
- Update actuals during execution: Fill Actual Start and Actual Finish as activities are completed.
Schedule Baseline vs. Project Schedule
The schedule baseline is not the same as the current project schedule:
- Schedule Baseline: The approved original plan. Updated only through formal change control.
- Current Schedule: The working schedule that reflects day-to-day progress and adjustments.
Comparing the current schedule against the baseline reveals schedule variances and trends. Use this data in your status reports and steering committee presentations.

Critical Path and Float Management
The schedule baseline should clearly identify the critical path — the longest path of activities with zero float. Best practices for managing float in your baseline:
- Highlight critical path activities (zero float) in your status reports.
- Monitor near-critical activities (1–3 days float) as potential risks.
- Never consume float without a formal decision — it is a project resource.
- Rebuild float when scope or requirements changes add duration to activities.
